This notice explains how Bluebird Aware CIC uses and protects information provided through our survey, email enquiries and volunteering activities.

The lived-experience survey

Our survey is hosted through Google Forms. It asks about experiences of non-visible and fluctuating physical disabilities, accessibility barriers and possible ways to improve support.

You can complete this survey without providing your name or email address. At the end, you may choose to leave your email address if you would like Bluebird Aware to contact you. Providing an email is optional. If you provide one, your response will no longer be completely anonymous to us.

We use survey responses to understand people’s experiences, shape our products and resources, improve awareness and demonstrate areas of need to potential funders and partners. Findings may be reported in combined or anonymised form. We will not knowingly publish information that identifies an individual without permission.

Information the survey may collect
  • Age band and UK region
  • Information about health conditions or disabilities
  • Experiences of travel, events, services and accessibility
  • Access and communication needs
  • Opinions about potential awareness products
  • Written comments
  • An email address only if the respondent voluntarily provides one
How survey information is handled

Survey responses are collected through Google Forms and may be processed using Google’s systems. Access is restricted to people authorised by Bluebird Aware. We use appropriate organisational and technical measures to protect the information.

Because the survey includes health and disability information, we will rely on the consent provided by the respondent to use their answers for the purposes explained before submission. A respondent may contact us to withdraw consent where their response can still be identified. We may be unable to locate a completely anonymous response.

Emails and enquiries

When you contact us about volunteering, products, partnerships, donations or another enquiry, we receive your email address and any information you choose to include in your message.

We use this information to respond, provide relevant information and manage any resulting relationship or activity. Our lawful basis is normally our legitimate interest in responding to enquiries and furthering Bluebird Aware’s community purpose.

Please do not send medical records or detailed medical information. If accessibility information is needed, only provide what is relevant to the support or adjustment you are requesting.

Volunteer information

The initial volunteer process is completed by email. At that stage, we normally receive your email address, the role that interests you and anything else you choose to include.

If you become a volunteer, we may later need additional information to organise your activities, training, communication, reasonable adjustments and agreed expenses. We will only request information that is relevant to your volunteering.

How long we keep volunteer information
  • An enquiry that does not lead to volunteering will normally be deleted within six months.
  • Information about an active volunteer will normally be kept during their volunteering and for six months afterwards.
  • Expense and financial records may be kept for longer where required for accounting or legal purposes.
  • Information relating to a complaint, safeguarding concern, insurance matter or legal issue may be retained for as long as reasonably necessary.

Who may receive information?

Information may be accessed by Bluebird Aware’s founder, authorised team members and trusted service providers where access is needed for their work. Information may also be disclosed where required by law, regulation, insurance or safeguarding responsibilities.

We only share the information needed for the relevant purpose. We do not sell personal information.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, request a correction or deletion, restrict or object to its use, withdraw consent or request a copy in a portable format.
